Terms & Conditions of Service
Welcome to J Swift Fitness. My goal is to provide a professional, results-driven, and supportive training environment. These terms and conditions exist to ensure clarity and fairness for all clients. By beginning a training package with me, you agree to these terms.
Section 1: General Policies (Applicable to ALL Clients)
1.1. Session Conduct: To respect my schedule and that of other clients, all sessions will begin and end promptly at their scheduled times. Arriving late to a session will result in a shortened session, which will end at the original scheduled time.
1.2. Client Cancellation Policy: I operate a strict 24-hour cancellation policy. If you need to cancel or reschedule any session (personal training or sports massage), you must provide a minimum of twenty-four (24) hours' notice. Cancellations made with less than 24 hours' notice, or no-shows, will result in the session being forfeited.
1.3. Trainer Cancellation Policy: In the rare event that I must cancel a session with less than 24 hours' notice, a complimentary session of equal value will be credited to your account.
1.4. Health & Medical Status: Your health is my top priority. You are responsible for informing me of any injuries, illnesses, or changes to your medical status before each session begins. For significant long-term absences due to illness or injury, a pro-rated refund or package pause may be granted upon submission of an official doctor's note.
Section 2: Monthly Subscription Policies
The following terms apply exclusively to clients on the monthly subscription packages (e.g., Starter, Unleash Your Potential, Master Your Fitness).
2.1. Minimum Commitment: To build momentum and achieve lasting results, a minimum commitment period of three (3) months is required for all new monthly subscriptions.
2.2. Ongoing Agreement: After the initial three-month term, your subscription will automatically transition to a monthly rolling agreement.
2.3. Payments: All subscription payments are due in full at the start of each monthly billing cycle, processed via a pre-authorized direct debit. A late fee of 5% may be applied to payments overdue by more than seven (7) days.
2.4. Subscription Cancellation: You may cancel within the first 14 days for a full refund (the "cooling-off" period). After the minimum term, you may cancel your rolling subscription by providing a minimum of thirty (30) days' written notice via email.
2.5. Session & Perk Expiration: All included sessions (training and sports massage) are designed to be used within your monthly billing cycle to ensure consistent progress. Unused sessions are forfeited and do not roll over to the next month. They hold no cash value and are non-transferable.
Section 3: Flexible Session Block Policies
The following terms apply exclusively to clients who purchase our Flexible Session Blocks (e.g., 8, 12, or 16 Session Blocks).
3.1. Payment: Flexible Session Blocks must be paid for in full at the time of purchase via card or bank transfer.
3.2. Validity & Expiry: All sessions on a block are valid for three (3) months from the date of purchase. Any sessions not used within this period will expire.
3.3. Refunds & Transferability: All Flexible Session Block sales are final and are non-refundable and non-transferable.
Section 4: Coaching Support & Communication
To provide the best possible results and manage my time effectively, the level of coaching support outside of our scheduled sessions is tailored to your specific package.
4.1. For Flexible Block Clients: For clients on a Flexible Session Block, all coaching, programming, form feedback, and fitness advice will be delivered exclusively during our scheduled one-on-one sessions. My time outside of these appointments is available for logistical communication (e.g., scheduling) only.
4.2. For Monthly Subscription Clients: As a core feature of your program, you receive enhanced ongoing support. This includes priority communication via the training app for program questions, video form checks, nutritional guidance, proactive weekly check-ins from me to keep you accountable, faster response times and community access via my personal training app.
4.3. Communication Hours: I aim to respond to all messages within 24 business hours. My standard hours for responding to non-urgent communications are Monday to Friday, 9:00 AM - 6:00 PM. Messages received outside of these hours will be addressed on the next working day.
